Job Description

The Program Coordinator (PC) provides administrative and programmatic support for Global Pro Bono programs, and may support other programming throughout the organization. This position requires a strong focus on training, financial reporting, program reporting, managing virtual teams, country and topic-specific research, program planning, and program preparation tasks. Working closely with Program Managers, the PC will have the opportunity to build their program management skills through exposure to a variety of program implementation and operations activities. In addition to overall programmatic activities, the PC will also support internal improvement initiatives and may support coordination for specific client teams.

The GPB team operates in a fast-paced, agile environment with quickly shifting priorities. As such, the ideal candidate will demonstrate high levels of agility and comfort with ambiguity. The ideal candidate will also be able to multitask, take initiative in completing assignments, and provide high-quality program support with little oversight and close attention to detail. Priority skills include: the ability to communicate clearly and professionally (verbally and in writing), strong customer service skills, process-orientation, ability to organize logistics, and time management, all combined with high sense of flexibility. Strong writing and presentation skills, combined with the ability to be innovative, are also necessary for this position.

While this is a remote work position at present, there is an expectation of returning to our Washington, DC-based office in 2022 for at least 2 days a week.

Key Position Responsibilities

The Program Coordinator is responsible for supporting the implementation of PYXERA Global’s  programming, with a majority focus on GPB Key responsibilities include (but are not limited to):

  • If additional surge support is needed, manage program procurement processes, participant travel arrangements, and coordinate all logistics in collaboration with Program Managers.
  • Support in overseeing virtual programs and teams
  • Conduct budget, country, and local organization research for developing briefing materials and program preparation.
  • Assist in creating and facilitating training sessions for corporate teams.
  • Ability to manage diverse activities, meet competing deadlines, and reprioritize activities as needed.
  • Maintain accurate program records in relevant databases and formats (i.e. Excel, Salesforce, SharePoint, etc.).
  • Create up-to-date location-specific briefing guides and assist in drafting elements of program work plans and required reports (program and financial).
  • Prepare and process relevant accounting forms and assist in preparing budgets and monitoring financial reports.
  • Assist in developing and/or copy-editing detailed project scopes of work with local host organizations.
  • Assist senior staff and practice area leaders in program and practice area processes and service improvements.
  • Process program participant and local partner survey data and synthesize this information into client-facing reports.
  • Develop and maintain tools to track reporting and program requirements.
  • Support department onboarding for client-specific logistics coordination processes.
  • Manage day-to-day tasks with limited supervision, ensuring on time deliverables that meet internal and external stakeholder needs.
  • Capture and share success stories/lessons learned that strengthen PYXERA Global’s existing and planned programs with organizations, partners, and stakeholders through social media and other avenues as appropriate.
  • Assist in drafting key correspondence for clients/donors.
  • As applicable, contribute to and lead client-facing communication on project status, operations, logistics, strategy, and continual program improvements.
  • As needed, coordinate operations across a client portfolio, including management of templates and documents, documentation of processes and process flows, tracking of individual project progress, and communication of specific client policies to staff.

This is a full-time salaried position with excellent benefits. Pay range for this position is competitive.

Requirements

  • US Citizen or Permanent US employment authorization required.
  • Bachelor’s degree in relevant field with minimum of 1-3 years of professional experience.
  • Experience in project management, event planning, and/or administrative experience.
  • Demonstrated initiative, innovation, and ability to work independently and as a member of a team to coordinate and/or lead the efforts to effectively meet program/client needs.
  • Swift ability to learn policies, processes, and standard operating procedures.
  • Experience in public speaking and meeting/event facilitation.
  • Experience in training and onboarding both internal and external stakeholders.
  • Ability to multi-task and manage diverse tasks simultaneously.
  • Strong writing and organizational skills with excellent attention to detail.
  • Exceptional customer service and problem-solving skills.
  • Strong knowledge of Excel for logistics tracking, reporting, and budgeting.
  • Experience in impact measurement, Salesforce, SharePoint highly desired.
  • Proficiency in a language other than English (preferably Spanish or Portuguese) and experience working with cross-cultural environment is a plus.
  • Experience working on government funded development programs is a plus
