Washington D.C. - HQ Positions

PYXERA Global seeks highly motivated undergraduate, graduate, or recent graduate interns to work 30-40 hours per week at our headquarters office in Washington, DC. This position offers interns the chance to experience and work across multiple job functions and with different divisions. This is an excellent opportunity for those who want to work at an international NGO with a focus on global engagement and corporate social responsibility.
The ideal candidate will have experience working in a fast-paced office environment, especially in a programmatic, research, or administrative capacity. The intern must be detail-oriented, able to multi-task, and have strong written and communication skills.

KEY POSITION RESPONSIBILITIES

The intern is responsible for supporting the implementation and monitoring of a number of program activities. S/he is also responsible for assisting in business development activities, including monitoring opportunities across donor/client organizations, proposal preparation, attending events, and conducting research. Duties include, but are not limited to, the following:

• Assist Program Managers in supporting our field staff and programs
• Assist in financial backstopping, ensuring that budgets are on track and expenses are documented according to internal guidelines

POSITION DESCRIPTION
The Program Associate (PA) provides logistical, administrative, and programmatic support in the Global Pro Bono (GPB) Department. This is an entry-level position that requires a strong focus on logistics, travel arrangements, financial reporting, and country and topic-specific research. The position will provide the PA with the opportunity to build their program management skills through exposure to a variety of program and operational activities related to the GPB department. In addition to programmatic activities, the PA will also support internal improvement initiatives and may also provide client coordination support in client management teams.

The GPB department operates in a fast-paced, agile environment with quickly shifting priorities. As such, the ideal candidate will demonstrate high levels of agility and comfort with ambiguity. The ideal candidate will also be able to multitask, take initiative in completing assignments, and provide high-quality logistical support with little oversight. Priority skills include strong attention to detail, ability to communicate clearly and professionally (orally and in writing), process-orientation, ability to organize logistics, and time management, all combined with the ability to be flexible.

KEY POSITION RESPONSIBILITIES

The Program Associate is responsible for supporting the implementation of PYXERA Global’s GPB practice area programming. Key responsibilities include (but are not limited to):

  • Make travel arrangements and coordinate program logistics in collaboration with Program Managers.
  • Conduct budget and country research for developing briefing materials for potential new programs and business opportunities.
  • Assist in creating and facilitating training sessions for corporate client teams.

Required:

  • US Citizen or Permanent US employment authorization required.

PYXERA Global (www.PYXERAGlobal.org), an NGO based in Washington, DC,  is seeking a Field Office Finance and Operations Manager in Washington, DC. The Field Office Finance and Operations Manager will be directly responsible for the finance, budgeting, operations and audit support for the global offices.

DESCRIPTION

• Review of expenses related to funded projects: Establish appropriate policies and procedures to ensure that program expenses are in accordance with PYXERA Global financial and procurement policies and procedures. Review/approve all expenditures related to grants and contracts for accuracy, allowability, adequate supporting documentation, proper authorizations, compliance with internal policies and funder requirements, proper recording of project and account numbers, and availability of budgeted funds. Perform desk review of field office monthly financial reports. Plan and execute internal review of field offices and recommend corrective actions. Oversee proper allocation of invoices to funding sources and expense categories, monitor costs against budgets and obligated funds. Verify field offices’ bank reconciliations. Initiate/review funds requests for field offices. Reconcile field office advance accounts from the general ledger to the field office records.

• Budget management and preparation: Prepare financial plans and maintain project budgets in coordination with Program Managers, including pipeline analysis. Assist Program Managers in preparation of budgets for new awards and extensions as needed. Collaborate with finance and program staff as well as field staff to identify compliance, finance risks at the field level, and identify ways to mitigate those risks. Develop systems and procedures that are effective and efficient in preventing, detecting, identifying and correcting noncompliance with applicable regulations, laws and standards throughout all field operations.
• Policies and procedures: Develop field office operational and financial policies and procedures to ensure compliance with PYXERA Global organizational policies and donor regulations. Write and/or edit as necessary to ensure a continuously updated field financial manual/handbook. Review field office documentation and ensure that financial policies and procedures are adhered to by field offices.

• International program support: Maintain a close working relationship with and provide training and support to field finance staff. Ensure proper account coding and consistency between HQ and field office financial records.

• Reporting: Prepare, submit and track financial deliverables, including quarterly accruals and SF 425s for federally funded projects.

• Complete ad hoc financial information requests.

• Provide audit support.

KEY RESPONSIBILITIES

• Lead the project startup and closeout efforts in coordination with other PYXERA Global staff.
• For startup, activities may include in-country registration, bank account establishment, procurement of office space, retention of legal services, roll out of policies and procedures, and hiring of local staff and security support.
• For orderly closeout, ensure that closeout plans are prepared and executed on schedule. Serve as a lead person for field offices or project closeout including review of budgets, expenses, commitments, projections, deliverables, and inventory disposition plans.
• Be responsible for working with country staff and the COO to ensure compliance with in-country registration, taxation, reporting requirements and other legal matters that affect the PYXERA Global programs.
• In concert with PYXERA Global HQ staff, establish, review and improve internal operating systems for PYXERA GLOBAL field offices.
• Ensure that PYXERA Global field operating policies and procedures are according to the highest standards of internal controls and are administratively efficient and cost effective.
• Maintain an operating manual for each field office.
• Be responsible to roll out policies and procedures in the field through trainings and orientations, and supervise the implementation of policies and procedures in the field offices.
• Conduct field operations oversight through periodic reviews to ensure that processes and policies are followed by field staff, including inventory management and procurement.
• Serve as a HQ focal point for overall field issue.
• This includes participating in the procurement of security providers, conducting security assessments, providing security updates to appropriate PYXERA Global staff, and establishing country security standard operating procedures.
• Ensure field staff receives orientation and training on a regular basis.
• Make decisions in coordination with senior staff in matters related to field security.
• Develop and deliver trainings to PYXERA Global HQ and field staff on a variety of topics. Respond to program requests for assistance, information and implementation of a broad range of topics, such as allowances, regulations, procedures and field office contracting issues.
• Perform other duties as requested by CFO.

REQUIRED QUALIFICATIONS

• Bachelor’s degree in accounting, finance or other related field.
• Demonstrated financial and budgeting skills.
• 5-10 years of progressive experience in accounting and operations of donor funded international programs.
• Demonstrated experience in overseeing field office operations, including program startup and closeout.
• Strong analytical skills to identify operational risks and ability to solve operational problems.
• Training skills to roll out policies and procedures. Ability to convey complex concepts through simplified approaches and tools.
• Advanced knowledge of administrative regulations applicable to assistance and acquisition funding mechanisms. Familiarity with OMB Circulars, CFR, FAR and AIDAR.

POSITION DESCRIPTION:

The Monitoring and Evaluation Coordinator will support the monitoring, evaluation, analytical, and knowledge management needs of our growing Global Pro Bono division to ensure quality and effectiveness of program implementation. On-the-job training will be provided, and opportunities for professional development and learning are available.

As Such the Coordinator will:
  • Provide assistance to program staff to develop performance monitoring plans and results frameworks during program design and implementation;
  • Create monitoring, evaluation, and learning systems, processes, and tools;
  • Contribute to measuring, analyzing, and reporting results; and
  • Support the staff in project management and budgeting of deliverables.
Responsibilities include, but are not limited to:
  • Supporting staff members in setting up logical frameworks and stakeholder assessments

  • Building surveys in a data collection system (Clicktools)

PYXERA Global (www.PYXERAGlobal.org), an NGO based in Washington, DC, will be managing a Global Pro Bono program in San Juan, Puerto Rico scheduled to take place in November. PYXERA Global would like to hire a part-time local consultant currently residing in or around San Juan to provide project management and logistical support to the selected team of corporate employees. The selected consultant’s main responsibilities will include, but may not be limited to, the following.

PROJECT DEVELOPMENT & IMPLEMENTATION

  • Participate in conference calls with Washington-DC based team
  • Conduct in-person, relationship-building meetings with key stakeholders who are employed by or affiliated with local health care partners based in and around San Juan & Ponce, Puerto Rico
  • Conduct additional meetings, as needed, with key stakeholders to outline program requirements and objectives
  • Maintain regular communication with key stakeholders to ensure understanding of the program, roles and responsibilities, and expectations at all stages of the program
  • Development of key program documents as identified by DC office Program Manager and corporate client
