Washington D.C. - HQ Positions

POSITION DESCRIPTION

PYXERA Global seeks highly motivated undergraduate, graduate, or recent graduate interns to work 30-40 hours per week at our headquarters office in Washington, DC. This position offers interns the chance to experience and work across multiple job functions and with different divisions. This is an excellent opportunity for those who want to work at an international NGO with a focus on global engagement and corporate social responsibility. The ideal candidate will have experience working in a fast-paced office environment, especially in a programmatic or administrative capacity. The intern must be detail-oriented, able to multi-task, and have strong written and communication skills.

KEY POSITION RESPONSIBILITIES

The Intern is responsible for supporting the implementation and monitoring of a number of program activities. S/he is also responsible for assisting in business development activities, including monitoring opportunities across donor/client organizations, proposal preparation, attending events, and conducting research. Duties include, but are not limited to, the following:

  • Assist Program Managers in supporting our field staff and programs
  • Assist in financial backstopping, ensuring that budgets are on track and expenses are documented according to internal guidelines

POSITION DESCRIPTION

The Program Coordinator provides administrative and programmatic support for program management activities in the Global Pro Bono (skills-based volunteering) department. This position requires a strong focus on travel arrangements, logistics, training, financial reporting, program reporting, country and topic-specific research, and program implementation preparation. Working closely with Program Managers, the Program Coordinator will have the opportunity to build their program management skills through exposure to a variety of program implementation and operations activities in the Global Pro Bono department. The ideal candidate will be able to multitask, take initiative in completing assignments, as well as provide high quality program materials with little oversight. Strong writing and presentation skills and a visual eye, combined with the ability to be innovative and flexible are necessary for this position.

KEY POSITION RESPONSIBILITIES

The Program Coordinator is responsible for supporting the implementation of Global Pro Bono programs. Key responsibilities include:

  • Manage program procurement process, participant travel arrangements, and coordinate all logistics in collaboration with Program Managers.
  • Conduct budget, country, and local organization research for developing briefing materials and program preparation.
  • Assist in developing pre-deployment training sessions (pre-work) for corporate teams.
  • Prepare and process relevant accounting forms, assist in preparing budgets, and monitoring financial reports.

PYXERA Global is looking for a talented individual to work as a full-time Monitoring and Evaluation Associate to support the Global Pro Bono Department in our Washington, DC office. The Monitoring and Evaluation Associate will support the monitoring, evaluation, analytical, and knowledge management needs of our growing Global Pro Bono division to ensure quality and effectiveness of program implementation. As such, the Associate will provide assistance to the program staff in developing performance monitoring plans and results frameworks during program design and implementation, creating M&E system, processes and tools, contributing to measuring, analyzing, and reporting results. The ideal candidate will have program implementation experience and be able to assess and navigate competing priorities, drive change management, identify department and system improvements, manage and assign resources, drive professional development planning for all shared service team members​, take initiative on driving assignments to completion, and performing with little oversight. PYXERA Global is seeking an accomplished professional, experienced in managing international programs to provide leadership and programmatic support to clients in the Global Pro Bono practice area. The Senior Program Manager (SPM) is responsible for the overall development, implementation, monitoring, personnel management, and budgetary oversight of all programs and projects to which s/he is assigned. In most cases, the SPM will be responsible for supporting the relationship of more than one of PYXERA Global’s corporate clients. In addition to program management, the SPM will have responsibility for one or more internal projects related to continuous improvement of the practice area’s operations.   The ideal candidate will have significant experience in navigating various geographies (and those that may be new to them); implementing and managing global programs; managing client relationships; business development; budgeting, as well as experience in strategy and partnership development with the private and social sectors. Strong writing and presentation skills, combined with the ability to be innovative and drive opportunities, are a must for this position. Previous experience managing and developing junior staff as well as working with a multicultural and global team is preferred.  

KEY POSITION RESPONSIBILITIES 

In addition to regular program management responsibilities, the SPM will:

PYXERA Global’s Enterprise and Community Development (ECD) Division catalyzes partnerships to achieve sustainable economic growth of local enterprises and communities. PYXERA Global is seeking a Program Coordinator with experience working on sustainable international development initiatives.

The Program Coordinator will provide administrative and programmatic support for diverse programs in India, Nigeria, and Belarus, as well as play a key role in coordinating the division’s business development activities.

The position will provide the Program Coordinator with the opportunity to build their program management skills through exposure to a variety of program and business development activities.

DUTIES AND RESPONSIBILITIES:

The Program Coordinator will be responsible for supporting the implementation of PYXERA Global’s programs and business development activities with oversight from multiple Program Managers. Key responsibilities and level of effort include:

Program Reporting and Monitoring and Evaluation – 25%

• Track progress of key program and departmental indicators, and monitor database management efforts;

• Contribute to writing, reviewing, and editing monthly, quarterly and annual program reports for various projects;

• Contribute to the development of program-specific and department-wide monitoring and evaluation strategies to better track and measure impact;

Business Development – 25%

• Conduct research, both technical and financial, for business development opportunities in various regions and practice areas;

• Support, and often lead, proposal coordination, production, review, and delivery;

• Support, and often lead, creation of visual data representations for proposals;

• Assist in the development of departmental collateral for BD purposes.

Finance – 25%

• Prepare and process relevant accounting forms such as invoices, wire transfer requests, expense reimbursements, and complete credit card reconciliations in a timely manner;

• Initiate and coordinate submissions of procurement documentation such as selection memos, contracts, modifications, and purchase orders;

• Assist in preparing budgets, monitoring monthly financial reports, and tracking project expenditures over time.

Communications – 15%

• Liaise with field staff and Program Managers to develop case studies and success stories, as well as support department and project-specific social media presence;

• Drive departmental collaboration within HQ and across field teams through knowledge sharing, especially utilizing Microsoft 365 digital platforms.

Other– 10%

• Contribute to the development of program initiatives by providing technical insight, asking questions, and continuously analyzing how we are implementing projects;

Global Positions

PYXERA Global, a non-profit based in Washington, D.C., will be implementing a global pro bono program in Quito, Ecuador with SAP. The program is scheduled to take place sometime in September and October, and PYXERA Global is seeking university students, recent graduates, or professional translators currently residing in Quito to provide interpretation/program support services for the team of corporate volunteers staying in Quito. The main responsibilities will include, but may not be limited to, the following:

ACTIVITIES

  • Sequential Interpretation or written translation during the program (late September and October 2018) during regular working hours (set by each office and team).
  • Conduct country specific research as needed to support the consultants.
  • Coordination of program activities with PYXERA Global Staff, both local and HQ.
  • Act as a cultural ambassador to a team of three (3) SAP employees from different countries for the duration of the assignment.

PYXERA Global will be managing a Global Pro Bono program in San Jose, Costa Rica, scheduled to take place in March 2019. PYXERA Global would like to hire a part-time local consultant currently residing in San Jose to provide project management and logistical support to the selected team of corporate employees from August 2018 through March 2019. Possibility of extension based on additional corporate programs. PYXERA Global is looking for a consultant with excellent knowledge of San Jose and with project experience and a professional network related to community development; workforce development; education, particularly STEM education; air quality; and/or the environment. The selected consultant’s main responsibilities will include, but may not be limited to, the following.

PROJECT DEVELOPMENT & IMPLEMENTATION

  • Identify and select potential clients and help to develop scopes of work (SOWs) reflecting the specific areas of intervention requested by local host organizations (mostly nonprofits, community development social enterprises, and government entities)
  • Support local host organizations in preparing for arrival of corporate volunteers, ensuring stakeholder meetings are arranged
  • Participate in conference calls with corporate volunteers in advance of their arrival in San Jose
  • Support corporate volunteers, providing advice and guidance around scope of work delivery
  • Act as the on-the-ground interface between PYXERA Global and partners in San Jose, including regular correspondence with PYXERA Global HQ staff and other stakeholders to assure satisfaction on the part of the volunteers and partners
  • Participate in meetings with corporate volunteers, as requested
  • Prepare financial and final program reports

LOGISTICS

  • Assist in procuring accommodations and transportation in San Jose
  • Coordinate the kick-off and closing event(s) for volunteer groups and host organizations
  • Prepare San Jose-related guides and suggestions for team orientation packets
  • Orient new corporate volunteers upon arrival in San Jose
  • Manage assignment, work, and project travel logistics for volunteers while they are in San Jose
  • Act as a logistical and informational resource for volunteers and troubleshoot challenges they may face
  • Monitor and advise on security arrangements for volunteers when they are in San Jose

PYXERA Global, an NGO based in Washington, D.C. will be managing a corporate probono program in Seattle, USA, scheduled to take place Sep 20th-November 2nd, 2018. PYXERA Global would like to hire a part-time consultant currently residing in Seattle to help with program design and provide project and logistical support to a selected team of corporate volunteers who will provide pro-bono consulting services to local non-profits and social enterprises. The selected consultant’s main responsibilities will include, but may not be limited to, the following:

ACTIVITIES

  • Review and validate PYXERA Global list of potential social organizations in Seattle and identify new ones that could be contacted during the outreach phase;
  • Participate in scoping trip meetings week with selected organizations;
  • Complete the scoping trip scorecard, and select with PYXERA Global social organizations to participate in the pro-bono engagements;
  • Match assigned pro-bono consultants to projects;
  • Co-lead with PYXERA Global staff three preparation conference calls with group of pro-bono consultants;
  • Be the principal PYXERA Global contact with stakeholders throughout project preparation and implementation;
  • Coordinate and facilitate the Welcome and Final Workshops for pro-bono consultants and participating social organizations in September and November 2018, respectively;
  • Correspond with PYXERA Global headquarters program staff and other stakeholders to assure satisfaction on the part of the pro-bono consultants and social organization partners;
  • Capture and share success stories and lessons learned that strengthen PYXERA Global’s existing and planned programs with organizations, partners, and stakeholders through social media and other avenues as appropriate;
  • Prepare financial and final program reports.
