About This Role

The Program Coordinator is a key member of the Program Delivery Unit, providing administrative, operational, and logistical support to projects within the Programs Department. Working closely with Program Managers, the Coordinator helps ensure high-quality and timely project implementation across multiple client portfolios.

The Program Coordinator contributes to the full project lifecycle, including planning, implementation, monitoring, and evaluation of client (corporate, foundation, or donor-funded) programs. In addition to supporting active projects, the Coordinator may assist with internal process improvements, knowledge management initiatives, developing collaterals for business development efforts and specific client requests as needed.

KEY RESPONSIBILITIES:

Duties include, but are not limited to, the following:

  • Manage assigned project tasks and ensure timely, high-quality deliverables.
  • Coordinate travel, logistics, and vendor arrangements, ensuring compliance with internal and financial policies.
  • Prepare and process accounting and procurement documentation for consultants, vendors, and local partners.
  • Support the creation and editing of project materials, reports, and presentations.
  • Maintain accurate project data and documentation across platforms (e.g., Excel, Salesforce, SharePoint, Microsoft Teams, Asana).
  • Compile inputs for monitoring and evaluation reports; assist with data aggregation and basic analysis.
  • Support virtual and in-person training sessions and onboarding of project participants or staff.
  • Document key discussion points and action items from client or project calls and ensure timely follow-up
  • Contribute to internal process improvements and knowledge-sharing initiatives across the Programs team.

 

Requirements

Education & Experience

  • Bachelor’s degree required in international relations, economic development, business, project management, or a related field such as travel and tourism or hospitality management.
  • 2–4 years of relevant experience in program or project coordination or project management within a professional service, NGO, Social Enterprise, CSR department, or donor-funded environment.
  • Demonstrated experience in logistics, vendor management and financial documentation.
  • Familiarity with global travel coordination, including visa processing and compliance procedures, is a plus.

 

Technical Skills

  • Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams) and comfort using platforms such as Asana, Salesforce, and SharePoint.
  • Proficiency using design tools like Canva and/or email campaign tools such as Mail Chimp.
  • Excellent written and verbal communication skills with attention to detail and accuracy.

LOCATION: Preference for candidates based in Mumbai, India. However, applicants residing in Bhopal or Delhi could also be considered.

SALARY: Salary will be determined based on the candidate’s level of experience, skills, and qualifications
